USAA Realco-Europe, B.V. (RealCo) is the European subsidiary company of USAA Real Estate. The company was formed in 2014 and is based in Amsterdam, the Netherlands. Job Description

USAA Realco-Europe, BV is seeking to appoint an Office Manager within its European Office. In this role the Office Manager will be overseeing and supporting general office operations. At this moment, the team in Amsterdam has eight (8) colleagues and is growing. Working as a team player, he/she will be responsible for communicating to external clients and internal colleagues in other locations and departments. As such, he/she will have good interpersonal skills and a command of Microsoft Office products to perform the assigned duties. Self-motivated, the Office Manager will anticipate work and perform well under deadlines.

Essential Duties

  • Greet visitors and answer incoming phone calls.

  • Purchase office supplies and equipment and maintain proper stock levels.

  • Develop presentations, emails, reports, spreadsheets, minutes and memos on behalf of the team.

  • Coordinate domestic and international travel, including flight, hotel, and car rental reservations.

  • Organize events (dinners, presentations, client events, etc).

  • Process and track expense reports and reimbursements for the team.

  • Act as the first line of contact for office suppliers and property managers.

  • Coordinate telecom contracts for the team and liaise with IT specialists to resolve computer problems.

  • Manage calendars for multiple executives including scheduling meetings, arranging appointments and schedules and tracking project deadlines. Other executive support requirements as needed.

  • Support the daily operational and administrative needs of the department, if and when necessary.

  • Support accounting and payment processing.

  • Arrange for document signatures and file important documents in an organized fashion in internal storage,databases and office location, as appropriate.

Minimum Qualifications

  • Bachelors degree

  • 3+ years of Office Management experience supporting executive level management and their teams.

  • Experience drafting and editing presentations in Microsoft PowerPoint.

  • Must be professional, flexible, friendly and enjoy interacting with internal colleagues and external clients.

  • Advanced proficiency in Word, Excel, PowerPoint, Outlook, & Adobe.

  • Strong organizational and time management skills.

  • Accuracy and attention to detail.

  • Ability to prioritize assignments to meet numerous deadlines.

  • Excellent analytical, quantitative and problem-solving skills.

  • Exceptional written and verbal communication skills.

  • Fluent in English (spoken and written) and preferably another European language.
